Scaling safety as growth accelerates at BW: Workplace Experts

When BW: Workplace Experts (BW), one of London’s leading fit-out specialists, experienced rapid growth, they faced a familiar challenge: maintain world-class safety and compliance, while efficiently delivering even more projects at scale.

Their solution was clear: adopt smarter technology and anchor safety under a seamless integration between HammerTech — its field teams’ preferred field safety platform — and project management powerhouse Procore.

What's Inside

Scaling site safety as growth accelerates

Growth at BW: Workplace Experts has been remarkable.

Turnover rose from £100m to over £325m in under a decade, with 30–35 sites running at once and projects for the likes of Sony Music and the iconic office building ‘The Ark’ in Hammersmith, West London.

But growth brings further complexity.

The Challenge of Scaling

  • Safety and responsibility: 150–300 operatives per large project. Ensuring everyone goes home safely is non-negotiable.

  • Data centralisation: Previously, we had dispersed systems and duplicate data entry. We needed one source of truth.

  • Lessons learned: Moving from “lessons noted” (and forgotten) to a process of actively feeding past learnings into new projects.

  • Logistics and constraints: Building in central London brings tight site conditions, strict client requirements, and compressed schedules.

In short: a new safety and project management system had to keep people engaged, simplify compliance, centralise data, and cut through paper-heavy admin.

HammerTech + Procore: a supercharged, field-first integration

"From my team’s perspective, integration is key. Setting up projects in Procore automatically pulls through to HammerTech. No duplication, no risk of missing data. That’s a huge time saver.”

The integration between Procore and HammerTech has proven transformative   removing admin burden and generating valuable safety data for predictive analytics.

(HammerTech) Identity & sign-ins: Facial recognition sign-on, with data flowing straight into Procore site diaries.

(HammerTech) Inductions: Completed online and standardised. Access linked directly to site entry.

(HammerTech) Permits and RAMS: Fully digitised, replacing entire walls of paper.

(HammerTech) Logistics & deliveries: Scheduled in HammerTech, cross-checked automatically with Qflow (Procore).

Evacuation app: HammerTech data enabled live headcounts; drill times cut from ~ roughly 20 minutes to just a few.

Sceptics turned champions: HammerTech in the field

What started as hesitation quickly became advocacy, as HammerTech reshaped how BW’s site teams engage with safety.

"For me, digitising permits was a breakthrough. Initially, there was resistance — people wanted physical copies. Now, sceptics are advocates.”

Tomas Hollingsworth
Director of Technology

By making safety simple and field-first, BW turned admin into engagement and resistance into advocacy.

The result? A field-first approach where safety is owned and embraced, not just ticked off.

In short: less admin, more safety, and predictive-ready data.

"A pleasant surprise has been how user-friendly HammerTech is. Instead of pushback, people came asking ‘What else can it do?’ That culture shift has been huge.”

Lessons learned: from rollout to real results

BW proved that integration success isn’t about software, it’s about people. When site teams choose the tools, own the rollout, and see the benefits, adoption turns from obligation into momentum.

Rolling changes out in seasonal roadshows avoided tech fatigue and created momentum. And role-based onboarding meant each group — from PMs and supervisors, to HSE leads and subcontractors — got exactly what they needed without overload.

"Rolling out new software is all about relationships. You need to know the system inside out, show people the personal benefits, and let them discover more over time.

"For example, showing HammerTech inductions first, then letting teams explore bulletins or permits later. It’s about collaboration, not dictation..”

The payoff is tangible.

BW now onboards hundreds of operatives faster and more safely, maintains stronger compliance without extra admin, and works from centralised, predictive-ready safety data that supports better decisions.
